CONSULTATION SERVICES

WITH REGARD TO INITIAL AND FOLLOW-UP CONSULTATIONS

 The ethical code of the Association of Naturopathic Practitioners (ANP) and General Naturopathic Council (GNC) does not allow its members to prescribe without having had an initial consultation with the client in person or online. Thereafter it is possible, for long distance clients, to arrange telephone/online consultations or repeat prescriptions as the herbalist deems therapeutically and professionally appropriate.

NECESSARY REFERRALS AND FURTHER TESTING

In some cases, dependant on your symptoms, you may be referred to your GP for further tests and/or monitoring of your condition while receiving therapies from the in-house practitioners.  Any known drug/herb/nutrient interactions will be sought and your doctor’s advice may be requested where such interactions are possible.  This is to ensure nutritional/herbal advice given and any current medication can work together to produce the best possible results to enhance your health.  Natural Medicine is not an alternative to medical advice in serious illness and you are encouraged to discuss your condition and natural treatment plan with your GP.

​Should it be determined that therapy with me is no longer necessary, or that you may require specialised treatment that I am unable to provide, the option of referral to another suitable natural medicine practitioner will be discussed in consultation and you will be referred accordingly.

​THERAPIES AND MEDICINES

We will endeavour to provide advice that may assist in resolving your health concerns. Advice is specific to you (the client) and should not be applied to others, even those with similar symptoms. The advice provided is followed at your discretion and no guarantees as to improved health can be made. I will make every effort to ensure any herbal remedy and supplementation suggested will enhance your health and well-being; however, you retain the responsibility for taking any natural medicine product or otherwise.

Any prescriptions forwarded for filling out by other herbal dispensaries will only be done so when necessary (and with all due diligence taken beforehand), and those dispensers are liable for correct dispensing and data protection practices. Your prescriptions will not be forwarded to other dispensaries without your prior consent, and all care will be taken to keep your personal information protected. You are free to obtain your herbs and natural supplements at your own risk from dispensers/dispensaries other than myself (or suppliers recommended by me).

​Whilst every care is taken to provide you with the highest level of care and security, natural medicine (as with any medicines, including pharmaceutical) can sometimes have unexpected reactions which differ from person to person. Therefore if you have ANY concerns or queries please do not hesitate to contact me - the situation is often resolvable after discussion of your responses.

PAYMENTS

Consultation bookings are taken online (website or email) or through the shop.

All chosen consultations or consultation packages must be fully paid upfront, by cash or card, in advance of the session, and bookings are not confirmed until the full sum has been received and cleared.

In the case of amendment or cancellation, £20/hour of the full sum will be held as a deposit to cover admin and clinic room fees. Please see the Cancellation and Amendment section for further details.

Payment by instalments may be possible but only on a case-by-case basis at the discretion of the individual practitioner, and the session will not be confirmed or take place until the full sum of the session has been received.​

 Receipt of payment is available through the following options, by prior agreement:

  • BACs

  • Cash

  • Debit/Credit Cards

Please note that for BACs and Cash payment methods there are no additional banking charges, but there is an additional 2.6% fee for card payments online or over the phone and an additional 2% fee for card payments made in person at the shop to cover admin and processing.

Where prescriptions and goods made by me are ordered by the client outwith consultations, payment is to be settled before the prescription can be made up.  A dispensing fee for each herbal prescription may apply. Prescriptions may be collected by arrangement or posted to you based on your preference. Postal orders are charged according to weight and packaging used (insulated to minimize potential damage).

​Payment for laboratory tests is normally made directly to the laboratory, on return of the completed test kit. However, on some occasions, direct payment to the shop or Gillian Robartes will be required when ordering the test. You will be advised of the payment method suited to your test.

AMENDMENT AND CANCELLATION POLICY

Clients may cancel or reschedule appointments, and are required to contact me a minimum of 48 hours in advance of their session date to inform of such changes (i.e. if the appointment is made for the 5th, notice of cancellation must be received and confirmed before close of business hours on the 3rd). Circumstances of emergency were less than 48 hours notice is given will be discussed and resolved at the individual practitioner’s discretion.

£20/hour of your original payment for the session will be held as a deposit to cover charges in cases of cancellation or amendment. If a client does not how for their appointment or if they do not notify of changes of circumstances before the timing specified then the deposit becomes non-refundable. Deposits for appointments where cancellations are made before the minimum advance notice are refundable.

​Please make all appointment changes or cancellations by telephone to the shop to ensure the message is received. Email is not checked all day or every day, and texts can go astray. If necessary, please leave a clearly spoken voice message on the voicemail with your full name, best contact number and the appointment you want to change/cancel, and someone will call you back to confirm that your message has been received. Until verbal confirmation from the shop has been given, please do not assume the message has been received.

​All clients are required to read and sign a disclaimer providing them with cancellation/rescheduling and refund terms and conditions information when making a booking and payment for their session online or via an individual practitioner. If the session is being booked over telephone, the terms and conditions are to be read to the client and the client is to agree before payment can proceed.

If a client cancels their appointment with less than 48 hours confirmed notice* then they will lose £20/hour of their original appointment fee to cover cancellation charges.
*With the exception of individual emergency situations beyond the client’s control, to be discussed and resolved at practitioner’s discretion of individual situations.

If a client chooses to reschedule the appointment (rather than cancel and receive a refund), the payment will be retained towards the new appointment.

  • If the rescheduling takes place in less than 48 hours, the full original sum will be retained towards the new appointment but the client will be required to pay an additional £20/hour to cover cancellation charges if the original appointment slot cannot be refilled within 24 hours (i.e. by the next working day before the close of business hours that day)*.
    *With the exception of individual emergency situations beyond the client’s control, to be discussed and resolved at practitioner’s discretion of individual situations.

  • Refusal to pay the £20 cancellation penalty fee will result in refusal of further appointments and barring from the clinic until the outstanding amount is settled.
